Phirse 1st Amendment- Conflict Resolution Policy

Purpose:

The purpose of this policy is to  provide a clear set of guidelines for members to have their grievances addressed and conflicts resolved in an equitable manner. 

Issues including but not limited to:

  • bullying
  • harassment
  • defamation 
  • rumor mongering
  • stalking

Scope :

Scope of CRG policy are as follows:

1. The policy applies for issues that have occurred as part of a Phirse event – in-person, online, or on Phirse social media platforms.

2. The policy applies to all Phirse members including ex-partners. This policy supersedes earlier policy of removing ex-partners based on their joining date in phirse. 

Definition: 

Phirse is a volunteer group. Any member can volunteer to help resolving issues and conflicts. Few groups are  involved in this process:

  1. Phirse Escalation Group(PEG):A group of phirse admins who perform day to day administrative tasks to run the group. 
  2. Phirse Volunteer Conflict Resolution Group: VCRG: A pool of volunteers who offered to help resolve any issue that needs detailed investigation. VCRG members are independent of Phirse admin/leadership(PEG).
  3. Phirse Incident Conflict resolution group(ICRG): A temporary group created with 3-5 members from VCRG group(NOT PEG), to actively work on a issue and provide resolution. Once resolution is provided, ICRG will be dissolved.

Rules of Engagement:

Step 1

Gather evidence to support your specific concern.

Step 2

Reflect and determine whether your grievance can be resolved between all parties concerned. If yes, proceed to resolve privately. This step is highly encouraged. 

Step 3

If you feel that your grievance has sufficient grounds, and cannot be resolved privately between the parties concerned, you could report to Phirse Admins via email: Phirse2020@gmail.com. Alternatively, if member is comfortable he/she can reach out to any local member of PEG.

Step 4

Once reported, Phirse Escalation Group (PEG) will review, and do it’s best to help everyone arrive at an equitable resolution. 

When PEG unable to provide resolution and for more complex issues, will engage Volunteer Conflict Resolution Group (VCRG). An ICRG will be created based on the availability and suitability of members in VCRG.

Incident CRG (ICRG) quick facts:

-is a subset of CRG, temporarily created for each uniquely reported incident.

-key goal is to act as mediator 

-each ICRG consists of members from the Volunteer CRG who offer to help out with a particular incident.

-ICRG members have to be green lit by all parties involved in that particular incident, to avoid conflicts of interest. 

-ICRG members can be replaced if conflicts of interest exist. 

– If a ICRG member finds that parties in conflict have personal relationship with you, please step out from the ICRG.

ICRG Conflict Resolution process:

ICRG members will listen to all parties involved in conflict and will try resolve the issue.

-All details of an incident must remain confidential to each ICRG unless required for investigation.

-if an amicable resolution is not reached, ICRG will present a plan of action to PEG for execution. 

-if determined to be legitimate, ICRG may recommend to issue a warning to the responsible party. A member may be removed on a third warning. 

– In some cases, members might be removed from group, based on the extent of the violation.  

-ICRG’s decision is final.

-ICRGs are unique and will be dissolved after each incident has been closed.

Appeals:

We are a community that is a work in progress, and we are constantly learning and improving upon our community guidelines. 

-members can submit an appeal after 4 weeks(cooling off time), by contacting Phirse Admins(PEG).

appeal timeline is subject to CRG volunteer availability. 

-a new ICRG will be formed so the incident can be re-investigated as part of the appeal.

-a maximum of 1 appeal can be accommodated at this time. 

Confidentiality

-all information shared during the resolution process must be treated with extreme confidentiality by those involved, and must not be shared with anyone unless required for resolution.

-any violation of this confidentiality may cause removal from the group.
